We require proof of identity from at least 1 Director of the company or from the beneficial owner of the business (if it is not a LTD company). This would need to be in the form of a copy of the Director's / beneficial owner's passport or driving licence and 2 residential bills or personal credit card / bank statements dated within the last 3 months. These documents must be emailed to us after you have subscribed. The documents do not need to be certified or notarised and we accept bills / statements that have been downloaded from online portals.
Every customer receives their own unique virtual office number. This gives your business a unique identity and means that your reputation will not be affected by other companies operating from the same business centre as you.
All mail must be addressed to your virtual office number otherwise it will be turned away. This is to protect our master address from blacklisting and also to safeguard the sender of mail against fraud as adding an office number to an address will help them identify that a business address is being used.
We will email you to notify you. You will be given the options to pick it up in person or have it scanned and emailed to you or forwarded to you by post. Options depend on the features of your package.
They must not weigh more than 10kg and exceed the size of a shoebox. Anything received larger / heavier than this will be turned away.
If the package that you have subscribed to includes free mail forwarding, then the maximum weight of an item that we will send you for free is 100 grams. We will use the cheapest service available to send your item via Royal Mail. Tracking is not included. We do not take responsibility for non delivered post.
There will be a charge to post the item to you based on the cost of postage plus 50% of the cost price. So for example if the cost of sending you your item is £2 we will charge you £2 plus 50% (£1) making the total cost £3.
You have 4 options:
a) Upgrade to a new tariff which has a higher monthly allowance for mail forwarding. Contact us for instructions.
b) Pay for the letter to be scanned and emailed to you at £1.50 per letter (maximum of 5 pages - £0.50 per page thereafter). This option is not available to subscribers of the bronze package.
c) Pay for the letter to be posted to you. This will be charged on the basis of the cost price to post it to you plus 50% (minimum charge of £2) This option is not available to subscribers of the bronze package.
d) Wait for the following calendar month to start when your allowance is reset.
If your Virtual Office subscription includes collection of mail in person then it must be collected by appointment only. This is to avoid customers arriving at one of our Business Centres at a time when there is nobody there to see them and give them their mail.
Yes. You will need to give us their name and they will need to provide us with photo ID and proof of their address. This can be emailed to us.
With our Bronze and Silver Packages you can only register 1 company to any of our addresses. With our Gold Package you can register 2 companies and with our Platinum Package you can register 3. If you wish to register more than 3 companies to your virtual office address please contact us before subscribing as we may be able to offer a discount.
Voip lines are set up on request only. Once you have subscribed to an appropriate Virtual Office Package email us to request a Voip Phone Line. The phone line is usually set up within 5 working days.
You cannot choose your phone number but you can choose which city you would like your number for e.g 0203 for London. 0121 for Birmingham. 0161 for Manchester. You can also request certain combinations of numbers. Eg you may want to have 2221 in the number somewhere. Although we cannot guarantee to get you a number of your choice, we can always try our best!
We will provide you with settings which can be installed in any softphone available to download for free on the internet. A softphone is simply a piece of software that can be installed on an Android, Iphone or PC that allows you to make and receive calls so long as you have a data connection. To get you started we will provide you with configuration details and full installation and set up instructions for Zoiper and 3CX softphones which are 2 of the most commonly used soft phones and which are free to download and install. However you can use our configuration details with any softphone of your choice.
To keep your Voip line active you must make or receive at least 1 call per month with a minimum durations of at least 30 seconds. Failure to do so leads to your Voip line being disconnected and the number being allocated to a different user.
After subscribing you have 7 days to cancel (pro rate charges may apply). After 7 days no refunds can be given. You can only cancel your package at your quarterly subscription date by giving a minimum of 7 days' notice.
You can upgrade your package at any time, however you can only downgrade at your quarterly subscription date.

Please note that all of the above services will be available to you immediately as soon as you subscribe with the exception of the creation of your company Annual Accounts / CT600 Corporation Tax return. These will be compiled only once you have been a paying client for a minimum of 12 months. If you have been with us for less than 12 months and need your company annual accounts to be compiled on an urgent basis you will be asked to pay the equivalent of 12 month's subscription in advance.
